Information/FAQ

  • When is the exhibit hall open?
    The exhibit hall is open THURSDAY ONLY from 8 am to 5 pm.
  • What is the cost to exhibit and where do I register?

    Conference Booths are $400 at the early bird rate, due by September 15 at 5 PM.

    After September 15, booths are $500.

    Note:  There are only about 20 booths available.  They are first come first serve.  The space is intimate, and allows for enhanced interaction with DVMS, students, and CVM staff and faculty.  Exhibitors responded very positively to this set up last year.

     

    Booth registration includes parking pass, and (2) exhibit hall passes.

  • Are there other sponsorship opportunities?
    Of course, several of which include booth space!  Check the options on the exhibit registration site.
  • What is the booth space like?

    Booths are small, 5' tables with a tablecloth, and 2 chairs.  There is no room for setting up large displays or equipment.  Please do not bring large banners or exhibit backdrops, or any type of large displays/equipment.  If you need room for display, we suggest you purchase (2) booths and check "no 2nd table, I am bringing equipment" at registration.  Again, the space you will have for your second booth will be approximately 5' and is very narrow.  Do not bring in anything really large.  It will not fit.  Please see images at the top and bottom of the page.  In the top image, the vendor purchased (2) booths so he could display some equipment.  The top image is from Fall Conference, 2022.  The bottom images are from Fall Conference, 2022.  

  • Is lunch included?

    Lunch is on your own.  We are planning to have a food truck at the event site both days.

  • Where is the conference being held this year?

    The conference and exhibit hall are at the Roger J.  Panciera Education Center, Vet Med, Stillwater, OK.  (Same location as 2022).  
    Navigate to 208 S. McFarland, Stillwater, Oklahoma, and come in the east doors to McElroy Hall.  Check in will be in the McElroy Lobby.

  • When can we load in?

    You may load in on Wednesday, November 8 from 3-5 PM and Thursday, November 9 from 7-8 AM.  The doors to the exhibit hall open at 8:00.

  • Where may I park?

    When you arrive to load in, please come to the registration table in the main lobby at RJP, pick up a parking permit and your name tags, and return it to your car. A parking map is attached. A copy of the conference program, which contains the agenda, is also attached.  If you have a large amount to unload, you may unload outside the Panciera south west doors, then proceed to park your car.  Here is a video to show you how to get from McElroy to the Panciera Building.  A parking map will be posted a little closer to the event.

  • Can I get CE for exhibiting?

    CE Attendance is not included with exhibit space.

  • Where do you recommend I stay?

    We recommend you stay at the Atherton Hotel, (405) 744-6835, or visit their website.

  • Booths are not confirmed until payment is received.

    Your booth is not confirmed until payment is received.  Because booths are first come first serve, we anticipate filling them quickly.  We recommend you pay by credit card.  If you are unable to, and have to wait for a check to be issued and mailed, you might want to visit with  our event staff  at 405-744-7672, and request a check from your accounting staff immediately.

  • What if I can no longer attend and need a refund?
    Refund requests received by October 26 will be refunded at 50%.  No refunds after October 26.
